The Company is a recruitment business that processes personal data (including sensitive data) to provide work-finding services to clients and work-seekers. As a result, the Company acts as a data controller. 

Personal details may be given to the Company directly or collected from another source. The Company requires a legal basis for processing personal data and will only use it for work-finding services or relevant role information.

    • We collect personal data, including sensitive personal data, to provide work-finding services. Our legal basis for providing these services is reliant on certain factors. 

    • Astro Education will use legitimate interest during the registration process until the signing of the candidate consent document. This is based on the individual seeking work, and Astro Education provides work-finding services. 

    • Legal obligation where processing is necessary to comply with Employment law, Conduct of Employment Agencies and Employment Businesses Regulations 2003, HMRC and associated national minimum wage, social security and tax legislation.

    • Astro Education is a work-finding agency that processes personal data based on legitimate interests when individuals seek work.

    • Former employers to seek references  

    • Payroll providers or payment intermediaries who process payroll on behalf of Astro Education

    • The Teaching Regulations Agency (TRA) 

    • Access Personal Checking Service Ltd (to process a DBS) 

    • Giant Screening Service-Giant group (to process a DBS) 

    • Academize an online platform to meet CPD requirements such as Safeguarding and Prevent Training  

    • Prospective Employers to provide references on your behalf 

    • Legal Advisors working for Astro Education

    • HMRC for the purpose of Audit, and provision of employment and payroll information 

    • The Disclosure and Barring Service and Department of Education for performing criminal records update checks, qualification checks, teacher sanction and restriction checks and the overall protection of vulnerable groups 

    • Overseas criminal records agencies 

    • Third parties which provide, host or support IT software and service on behalf of Astro Education

    • The Recruitment and Employment Confederation (REC) for the purpose of Audit and accreditation 

    The company may collect and process the following data on you

    • Postal address, email address, contact telephone numbers 

    • Proof of address documents 

    • Qualification documents and training certificates 

    • Information obtained from the Teaching Regulations Agency (TRA)

    • Right to work information

    • Marriage certificate 

    • Change of name documents  

    • Proof of national insurance documents 

    • Payroll information  

    • Emergency Contact Information

    • Criminal convictions, including DBS, DBS Update Service, Overseas Police Clearances, and Children’s Barred List checks 

    • Information regarding disability/health conditions relevant to the role

    • Social Media Platforms such Facebook, LinkedIn etc 

    d. Statutory/contractual requirement  

    Personal data is required by law, contract, or for entering into a contract. It is mandatory to provide this data, and failure to do so may result in consequences. 

    • Provide this to ensure the company provides work-finding services. 

  • The Company may transfer only the information you provide to us to countries outside the European Economic Area (‘EEA’) to provide you with work-finding services. We will take steps to ensure adequate protections are in place to ensure the security of your information. The EEA comprises the EU member states plus Norway, Iceland and Liechtenstein. 

  • The Company is committed to keeping your personal data for only the necessary duration. The regulations require us to maintain work-seeker records for at least one year from the date of their creation, and we must also keep records of payroll, holiday pay, sick pay, and pensions auto-enrolment for as long as legally required by HMRC and associated national minimum wage, social security, and tax legislation. If the Company has your consent to process your personal and sensitive personal data, we will do so by our retention policy. The Company will seek your further consent after the expiration of that period. If you do not grant permission, the Company will stop processing your personal and sensitive personal data.
